Position Overview:

The Receptionist is responsible for providing secretarial, administrative, and reception services for the Lhoosk’uz Dené Nation Administration Office. The Receptionist is responsible for the performance of communication functions such as answering the main telephone line to relay incoming calls, taking messages or providing information, directing visitors, and processing incoming written communication. This position also performs administrative and clerical tasks such as word processing, photocopying, and filing. The Receptionist contributes to the smooth functioning of daily operations and fosters a positive and professional atmosphere within the office. This is a full-time, in-office position.

Preference will be given to qualified Indigenous applicants in accordance with Section 41 of the British Columbia Human Rights Code.

Duties and Responsibilities:

Operations 

  • Provide general administrative services to support the Administration Department.
  • Answer phones, screen calls, and accurately record messages.
  • Receive and coordinate the day-to-day communication for the Administration Department (phone, in-person, fax, and email).
  • Prepare correspondence as requested.
  • Manage mail per established protocols.
  • Create and maintain files and documents per the established document management processes.
  • Assist with purchases and inventory including ordering of materials or supplies per established standards.
  • Understand and follow all established financial policies and procedures.
  • Help coordinate inventory management of office assets.
  • As requested, support the preparation of information, materials, and reports for Council meetings.

Relationship Management 

  • Be respectful and unbiased in carrying out work responsibilities as a service provider to the community. 
  • Maintain confidentiality in all Lhoosk’uz Dené Nation matters.
  • Demonstrate respectful behaviour and actions aligned with the values of the Lhoosk’uz Dené Nation.
  • Perform other duties and responsibilities as necessary in the performance of the position and as assigned by the Executive Director.
  • Understand and follow human resources policies and workplace expectations through behaviours and actions aligned with the culture and values of Lhoosk’uz Dené Nation.

  • Follow all Lhoosk’uz Dené Nation policies and procedures.
  • Professional appearance suitable to the position.  
  • Maintain strict confidentiality relating to all Nation matters and its members.
  • Ability to successfully and periodically undergo an appropriate criminal records review and police record check is required.

Experience, Knowledge, Skills, and Abilities:

  • Knowledge of methods and procedures used in maintaining an office.
  • Proficient in Microsoft Office applications (Outlook, Word, Excel).
  • Strong time management skills, capable of prioritizing tasks effectively and paying close attention to detail.
  • Strong verbal and written communication skills, including the use of proper spelling and grammar.
  • Minimum high school diploma or the equivalent.
  • Experience and/or training in a relevant field is considered an asset.
  • Strong customer service skills.
  • Ability to establish strong working relationships with internal and external participants.
  • Strong knowledge in the operation of office equipment, such as a photocopier, fax machine, telephone, and computer.
  • Ability to work in a team or independently with minimal supervision.
  • Possess cultural awareness and sensitivity.
  • Demonstrate dedication to the role and to the Lhoosk’uz Dené Nation community.
  • Understand and promote Lhoosk’uz Dené Nation’s culture, language, and values.
